People, Preferences, and Availability                                      Continue tour >>

People are the most important asset to any organization. You will want to create a schedule that is sensitive to the needs of your people. This includes when they are available, what roles they are able to fill, how often they are available, and with whom they prefer to work. A better roster will make best use of your valuable human resource.

The People panel is the area in which you manage your people, households, and groups of individuals or households.

Individual items (Person, Household or Group) can be globally activated or deactivated using "Active". When inactive, that object will not be automatically assigned to any schedule. If it is a household or group, then every person belonging to that household or group will also be treated as inactive.

Select a different tab to enter different types of information.

For each person, household, or group, you can define:

Address/Telephone
These contact details are options and can be reported in various address lists and rosters.

Usage Target
Indicate the preferred serving frequency for a person, any
enforced break, and any pre-assignments (fixed pattern of assignment which the scheduler will schedule around) for a person

Associations
Indicate relationships between individuals. You can specify any number of relationships which indicate whether a person prefers to serve with (or not with) another person of family or group, and also the strength of the preference (from mild to mandatory)

Household Association preferences
The same preferences can be defined for a household, for instance, whether to try to roster members of the same household during the same event, or even whether to try to roster them on different events

Events
For each person you can define which events (services, meetings) they can serve

Roles
Indicate which roles a person may fill. Settings for a role member (a person-in-a-role) are set in the main Roles panel - see below

Groups
Assign this person to any existing group

Members
If editing a group, assigne the members of the group, and other options pertaining to groups

Scheduled
This tab shows every timeslot in which this person is current scheduled

Absences (availablity)
These may be specific dates, ranges of dates, or dates according to a pattern, such as the 1st Sunday of every month
